Please note BPIHT do not directly hire furniture to trade stands. Exhibitors must arrange their own stand furniture, graphics, Wi-Fi etc through our partners.
Temporary shedding marquees will be dismantled at 9AM ON MONDAY 18TH SEPTEMBER– Exhibitor items must be removed by this time.
A shedding stand has a white tented marquee on a frame. You will see these sited throughout the showground, they can be dress as required. Sizes start at 3m (frontage) x 6m (depth), with a further 9m depth space available to park vehicles or camp as required.
The average height inside the shedding structure is 2.3metres but this can vary if you chose to have carpet or flooring. If you require a technical drawing, please contact – catherine.bishop@thegamefair.org
Banner Rail - You will automatically receive a banner rail, which is the width of your stand and 60cm high. Exhibitors are expected to supply their own banner. We recommend choosing a banner with eyelet holes and using cable ties to attach the banner to your Stand frame.
If you are installing your own banner, please bring a ladder or suitable apparatus, to ensure the task is carried out safely. Be aware of the dangers of working from height.
Carpet and Wooden Flooring - If you have purchased carpet for your shedding unit, the standard colour is grey.
Flooring - Flooring is offered as an upgrade. If you have purchased wooden flooring, you will NOT receive carpet. If you haven’t purchased any type of flooring, your stand will be set on bare ground. Grass is cut short to 2-3inches - subject to weather.
Please note - due to the natural nature of wooden flooring, the colour and quality can vary. We recommend that you bring some rugs or your own floor covering to dress your stand.
Camping - Camping is allowed within Exhibitors contracted space. All vehicles must be parked within the boundary, if they do not fit, you will be asked to move to Exhibitors camping or parking. This is to ensure all tracks and alleys are kept clear, in case of an emergency. The Fire, Ambulance and Police service must have full access around the site.
Front Sheet - It is the exhibitor’s responsibility to take the sheet off the front of their Stand each morning and put it back in place at the end of the day.
Unless you have requested in writing that you wish for your shedding stand to be pushed back, it will be positioned along the standard build line. If you would like your Stand to be pushed back, please get in touch with exhibitors@stableevents.org

Open Space is a pitch on grass, these are located throughout the showground, giving the flexibility to fill the space as required. Sizes start at 3m (frontage) x 15m (depth). When booking Open space you should allow space for any vehicles or camping on your stand.
A shedding unit is NOT provided with Open Space, you are responsible for supplying and erecting your structure at your own expense. The stand design is your responsibility and must be such that it can be erected and dismantled within the time period available. When you arrive at the showground, the area of your stand will be marked out on the ground. It is your responsibility to ensure that the stand is built within the floor markings. If you are unsure of these please contact a floor manager before commencing build.
Open space exhibitors may start construction of their stand from Monday 11th September.
Open space structures such as gazebos must be able to withstand up to 40mph wind and must be of a good standard, and in a clean and tidy condition.
When designing the stand, Open space Exhibitors must consider whether visitors can see their ‘back of house’ from the front of their stand.
Open Space Exhibitors are responsible for cutting the grass with-in their footprint, if needed.
Please note if you are an Open Space Exhibitor, we may write to you and request a layout drawing of your stand – this information must be provided to the organisers.
If you have an Open Space stand you must complete the Open Space Layout Template and submit to exhibitors@stableevents.org The template can be found on the E-Zone.
Nothing should go into the ground without prior permission from Catherine Bishop, Head of Operations.
Our extremely popular Totally Food area is a fantastic attraction at the Show, giving an excellent opportunity to introduce your delicious produce to a wide audience. Traders in the Totally Food area must sell food and/or drink exclusively, which can be for off-ite or on-site consumption. Totally Food Exhibitors must comply with current food and hygiene regulations. Frontages start at 3mtr and will have a further 3mtr depth to park vehicles or camp in, as required.
Exhibitors selling and sampling food - Please be aware that the local Council’s Environmental Health Officers will be carrying out checks during the show.
Signage - Each stand in Totally Food will be given a correx double sided sign which will display your company name, as per your contract. If you need to amend this, please get in touch with exhibitors@stableevents.org
Any amendments to a company trading name not submitted by the 15th August 2023 will be printed as the trading name on your contract.
Electric – As part of the Totally Food area package your stand will include one plug socket. If you require an additional electric socket or lighting, this needs to be purchased directly through our official electrical supplier.
Please note we have IBC units located at the back of Totally Food to remove any food waste.
We have a number of 3m x 3m shell stands which do NOT have a back of house area i.e a space to park your vehicle or camp on the showground. You will however be able to park vehicles in our free exhibitor car park or the nearest car park to your stand. The Exhibitor car park is approx. 10-15-minute walk.

The 3m x 3m stands will be provided with wooden flooring only.
Stock vehicles should be removed from site before the show opens, and parked in the exhibitor car park by entrance B. There is no space behind the stand to park a vehicle.

Wristbands - You will not be issued with any vehicle passes for show days, however you will receive 4 x 3-day Exhibitor Wristbands.
Our catering units are located throughout the show ground. Each catering unit will have a bespoke pitch. Some catering unit pitches are not suitable or do not allow for a back of house area (camping and additional vehicles) Please ensure you are aware how much space you have behind your stand.

Please note your stand does not include electric or gas, this needs to be purchased in advance. Please make yourself familiar with new fire regulations, further information can be found in the E-Zone.
You must ensure your catering unit fits within your contacted space. We will insist that any additional vehicles are moved to the nearest car park or a penalty fine of £200 + VAT may be issued.

PLEASE NOTE – Camping is NOT allowed on catering pitches, you will need to camp in the Icehouse area.
